SSL or TLS encryption

4. Data collection on our website

Server log files

The website provider automatically collects and stores information that your browser automatically transmits to us in "server log files". These are:

The basis for data processing is Art. 6 (1) (f) GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.

Contact form

When you send us an inquiry via our contact form, we store the information you enter there, including the contact details you provide, so we can process your inquiry and if necessary respond to any follow-up questions. We do not share this information with anyone without your consent.

Accordingly, the data you enter into the contact form is processed exclusively on the basis of your consent (see Article 6 para. 1 (a) of the GDPR). You may withdraw said consent at any time; simply send us an informal e-mail to this effect. The legality of any data processing performed up this point shall remain unaffected by this withdrawal.

We store the data you have shared with us via the contact form until you request us to erase the data, withdraw your consent to its storage, or until the reason for us storing the data no longer exists (for instance, once we have dealt fully with your request). This shall not apply if we are required by law to continue storing the data, for instance for a prescribed period of time.

Storage of the IP address

Our comment function stores the IP addresses of those users who post comments. Since we do not check comments on our site before they go live, we need this information to be able to pursue action for illegal or slanderous content.

How long comments are stored

The comments and the associated data (e.g. IP address) are stored and remain on our website until the content commented upon has been completely deleted or the comments are required to be removed for legal reasons (slander, etc.)

Legal basis

The comments are stored based on your consent per Art. 6 (1) (a) GDPR. You may revoke your consent at any time with future effect. An informal email making this request is sufficient. The data processed before we receive your request may still be legally processed.

Processing of data (usage and contract data)

We collect, process, and use personal data only insofar as it is necessary to establish, or modify legal relationships with us (master data). This is done based on Art. 6 (1) (b) GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract. We collect, process and use your personal data when accessing our website (usage data) only to the extent required to enable you to access our service or to bill you for the same.

Collected user data shall be deleted after completion of the order or termination of the business relationship. Legal retention periods remain unaffected.

Data transferred when signing up for services and digital content

We transmit personally identifiable data to third parties only to the extent required to fulfill the terms of your contract with us, for example, to banks entrusted to process your payments.

Your data will not be transmitted for any other purpose unless you have given your express permission to do so. Your data will not be disclosed to third parties for advertising purposes without your express consent.

5. Analytics and advertising

Google reCAPTCHA

We use “Google reCAPTCHA” (hereinafter “reCAPTCHA”) on our websites. This service is provided by Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, USA (“Google”).

reCAPTCHA is used to check whether the data entered on our website (such as on a contact form) has been entered by a human or by an automated program. To do this, reCAPTCHA analyzes the behavior of the website visitor based on various characteristics. This analysis starts automatically as soon as the website visitor enters the website. For the analysis, reCAPTCHA evaluates various information (e.g. IP address, how long the visitor has been on the website, or mouse movements made by the user). The data collected during the analysis will be forwarded to Google.

The reCAPTCHA analyses take place completely in the background. Website visitors are not advised that such an analysis is taking place.

Data processing is based on Art. 6 (1) (f) GDPR. The website operator has a legitimate interest in protecting its site from abusive automated crawling and spam.

Matomo

This website uses the open source web analytics service Matomo. Matomo uses technologies that enable the recognition of the user across pages for the analysis of user behaviour (e.g. cookies or device fingerprinting). The information collected by Matomo about the use of this website is stored on our server. The IP address is anonymised before storage.

With the help of Matomo, we are able to collect and analyse data about the use of our website by website visitors. This enables us to find out, among other things, when which page views were made and from which region they come. We also collect various log files (e.g. IP address, referrer, browsers and operating systems used) and can measure whether our website visitors perform certain actions (e.g. clicks, purchases, etc.).

The use of this analysis tool is based on Art. 6 para. 1 lit. f DSGVO. The website operator has a legitimate interest in the anonymised analysis of user behaviour in order to optimise both its website and its advertising. If a corresponding consent has been requested, the processing is carried out exclusively on the basis of Art. 6 para. 1 lit. a DSGVO and § 25 para. 1 TTDSG, insofar as the consent includes the storage of cookies or access to information in the user's terminal device (e.g. device fingerprinting) within the meaning of the TTDSG. The consent can be revoked at any time.

IP anonymisation

We use IP anonymisation for the analysis with Matomo. This means that your IP address is shortened before analysis so that it can no longer be clearly assigned to you.

6. Newsletter

Newsletter data

If you would like to receive our newsletter, we require a valid email address as well as information that allows us to verify that you are the owner of the specified email address and that you agree to receive this newsletter. No additional data is collected or is only collected on a voluntary basis. We only use this data to send the requested information and do not pass it on to third parties.

We will, therefore, process any data you enter onto the contact form only with your consent per Art. 6 (1) (a) GDPR. You can revoke consent to the storage of your data and email address as well as their use for sending the newsletter at any time, e.g. through the "unsubscribe" link in the newsletter. The data processed before we receive your request may still be legally processed.

The data provided when registering for the newsletter will be used to distribute the newsletter until you cancel your subscription when said data will be deleted. Data we have stored for other purposes (e.g. email addresses for the members area) remain unaffected.

CleverReach

We use CleverReach for sending newsletters. The provider is CleverReach GmbH & Co. KG, Mühlenstr. 43, 26180 Rastede. With this service, we can organize and analyze the sending of newsletters. The data you enter to receive the newsletter, such as your e-mail address, is stored on the CleverReach servers. Server locations are Germany or Ireland.

Sending newsletters with CleverReach allows us to analyze the behavior of the newsletter recipient. Among other things, the analysis shows how many recipients have opened their newsletter and how often links in the newsletter were clicked. CleverReach supports conversion tracking in order to analyze whether a previously defined action, such as a product purchase, has taken place after clicking on a link. Data processing is based on Art. 6 (1) (a) DSGVO. You may revoke your consent at any time by unsubscribing to the newsletter. The data processed before we receive your request may still be legally processed.

For the revocation an informal message by e-mail is sufficient or you unsubscribe via the "unsubscribe" link in the newsletter. The legality of the data processing operations already carried out remains unaffected by the revocation.

If you do not want CleverReach to analyze your data, you must unsubscribe from the newsletter. To unsubscribe, just send us an informal e-mail or use the "unsubscribe" link in the newsletter.

Data entered to set up the subscription will be deleted from our servers and the servers of CleverReach in case of unsubscription. Should this data have been transferred to us for other purposes and elsewhere, it will remain with us.

To fully comply with the legal data protection requirements, we have concluded a contract with CleverReach for order processing.

MailChimp for the „KGI-Infobrief“

This website uses the services of MailChimp to send the KGI-Infobrief (newsletter of the Network “Kommune goes international”). MailChimp is provided by Rocket Science Group LLC, 675 Ponce De Leon Ave NE, Suite 5000, Atlanta, GA 30308, USA.

MailChimp is a service which organizes and analyzes the distribution of newsletters. If you provide data (e.g. your email address) to subscribe to our newsletter, it will be stored on MailChimp servers in the USA.

MailChimp is certified under the EU-US Privacy Shield. The Privacy Shield is an agreement between the European Union (EU) and the US to ensure compliance with European privacy standards in the United States.

We use MailChimp to analyze our newsletter campaigns. When you open an email sent by MailChimp, a file included in the email (called a web beacon) connects to MailChimp’s servers in the United States. This allows us to determine if a newsletter message has been opened and which links you click on. In addition, technical information is collected (e.g. time of retrieval, IP address, browser type, and operating system). This information cannot be assigned to a specific recipient. It is used exclusively for the statistical analysis of our newsletter campaigns. The results of these analyses can be used to better tailor future newsletters to your interests.

If you do not want your usage of the newsletter to be analyzed by MailChimp, you will have to unsubscribe from the newsletter. For this purpose, we provide a link in every newsletter we send. You can also unsubscribe from the newsletter directly on the website.

7. Plugins and Tools

YouTube

Our website uses plug-ins from the Google-operated YouTube site. The provider of this site is YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.

If you visit one of our sites that is equipped with a YouTube plug-in, you will be connected to the YouTube servers. Thereby, the YouTube server will be informed which of our sites you visited.

If you are logged in to your YouTube account, you allow YouTube to associate your browsing behaviour directly with your personal profile. You can prevent this by logging out of your YouTube account.

Our website uses features provided by the Vimeo video portal. This service is provided by Vimeo Inc., 555 West 18th Street, New York, New York 10011, USA.

If you visit one of our pages featuring a Vimeo plugin, a connection to the Vimeo servers is established. Here the Vimeo server is informed about which of our pages you have visited. In addition, Vimeo will receive your IP address. This also applies if you are not logged in to Vimeo when you visit our website or do not have a Vimeo account. Google Web Fonts

For uniform representation of fonts, this page uses web fonts provided by Google. When you open a page, your browser loads the required web fonts into your browser cache to display texts and fonts correctly.

OpenStreetMap

The “Kommune goes International network” and "jugend.erinnert" sub-pages on our website feature a section of OpenStreetMap displaying the local communities that are part of the KGI network respectively  sites commemorating German war crimes in Greece.

Your IP address is transferred to the OpenStreetMap server and stored when using their maps. This information is transferred to the USA, which may pose a risk to data privacy. The data transfer complies with the OpenStreetMap Privacy Policy and Acceptable Use Policies, which are accessible using the following link: wiki.openstreetmap.org/wiki/Privacy_Policy

Should you prefer for your data not to be shared with OpenStreetMap and to be transferred, you can deactivate the OpenStreetMap service by switching off JavaScript in your browser settings. In this case, you will no longer be able to either use the service or view the map.

SoundCloud

On our pages, plugins of the SoundCloud social network (SoundCloud Limited, Berners House, 47-48 Berners Street, London W1T 3NF, UK) may be integrated. The SoundCloud plugins can be recognized by the SoundCloud logo on our site.

When you visit our site, a direct connection between your browser and the SoundCloud server is established via the plugin. This enables SoundCloud to receive information that you have visited our site from your IP address. If you click on the “Like” or “Share” buttons while you are logged into your SoundCloud account, you can link the content of our pages to your SoundCloud profile. Spotify

Features of the Spotify music service are included on our pages. This service is provided by Spotify AB, Birger Jarlsgatan 61, 113 56 Stockholm, Sweden. The Spotify plugins can be recognized by the green logo on our site. For an overview of the Spotify Plugins, see developer.spotify.com.

Thus, when you visit our pages about the plugin a direct connection can be established between your browser and the Spotify server. This enables Spotify to receive information that you have visited our site from your IP address. Statistics Surveys - Surveys / SoSci Survey

For online questionnaires the service SoSciSurvey.de is used. Both the servers and the operators of this service are located in Germany and are therefore subject to German data protection laws. The questionnaire is filled out completely anonymously, i.e. no personal data is collected, not even IP addresses.

By voluntarily participating in a survey conducted with SurveyMonkey, you consent to the processing of your personal information in accordance with Art. 6 (1) (f) GDPR. For the survey, we link to an external website of SurveyMonkey (SurveyMonkey Inc., SurveyMonkey Europe UC, SurveyMonkey Brasil Internet Ltda.) SurveyMonkey's website uses cookies. Walls.io

To display social media content on our website, we also use a plugin from the provider Walls.io. The provider is "Die Socialisten" Social Software Development GmbH, Andreasgasse 6, Top 1, 1070 Vienna, Austria. When you visit a subpage with social media content displayed by Walls.io, you must first explicitly agree to the loading of the external content. Only then will a connection to the Walls.io servers be established and the external content visible. Further information on data processing by Walls.io can be found at https://walls.io/privacy. 8. Data protection provisions for audio and video conferences

Data processing

One of the tools we use to communicate with our clients is online conferencing. The specific tools we use are listed below. When you communicate with us by video or audio conference via the Internet, your personal data is collected and processed by us and the provider of the respective conference tool.

The conferencing tools collect all data that you provide/enter to use the tools (e-mail address and/or your telephone number). Furthermore, the conference tools process the duration of the conference, start and end (time) of participation in the conference, number of participants and other "contextual information" in connection with the communication process (metadata).

Furthermore, the provider of the tool processes all technical data that are necessary for handling the online communication. This includes in particular IP addresses, MAC addresses, device IDs, device type, operating system type and version, client version, camera type, microphone or loudspeaker as well as the type of connection.

If content is exchanged, uploaded or otherwise made available within the tool, this is also stored on the servers of the tool providers. Such content includes, but is not limited to, cloud recordings, chat/instant messages, voicemails uploaded photos and videos, files, whiteboards and other information shared while using the service.

Please note that we do not have full control over the data processing operations of the tools used. Our options are largely determined by the company policy of the respective provider. For further information on data processing by the conference tools, please refer to the data protection statements of the respective tools used, which we have listed below this text.

Purpose and legal basis

The conference tools are used to communicate with prospective or existing contractual partners or to offer certain services to our customers (Art. 6 para. 1 lit. b DSGVO). Furthermore, the use of the tools serves the general simplification and acceleration of communication with us or our company (legitimate interest within the meaning of Art. 6 para. 1 lit. f DSGVO). If consent has been requested, the tools in question are used on the basis of this consent; consent can be revoked at any time with effect for the future.

Storage period

The data collected directly by us via the video and conference tools will be deleted from our systems as soon as you request us to delete it, revoke your consent to store it or the purpose for storing the data no longer applies. Stored cookies remain on your terminal device until you delete them. Mandatory legal retention periods remain unaffected.

We have no influence on the storage period of your data, which is stored by the operators of the conference tools for their own purposes. For details, please contact the operators of the conference tools directly.

Zoom

We obtain "Zoom" from our partner Connect4Video GmbH, a German partner of "Zoom". Connect4Video GmbH operates the "Zoom" solution on its own servers in data centres in Germany, Austria and Switzerland. "Online meetings" of Connect4Video's customers take place on these servers. Webex has Binding Corporate Rules (BCR) approved by Dutch, Polish, Spanish and other relevant European data protection regulators.
